How to Set Up Call Forwarding and Follow-Me Features in Your PBX

In today's always-connected business environment, missing an important phone call can mean losing a customer, delaying a project, or damaging a professional relationship. Whether you are stepping away from your desk, traveling for business, working remotely, or simply managing a busy schedule, you need a phone system that ensures every call reaches you wherever you are. Call forwarding and Follow-Me features are two of the most essential capabilities in any modern PBX, allowing calls to be redirected from one number or device to another based on rules you define. When properly configured, these features create seamless business continuity, ensuring that colleagues, clients, and partners can always connect with the right person.

Understanding Call Forwarding and Follow-Me

Call forwarding is a straightforward feature that redirects incoming calls from one number to another. There are several types of call forwarding commonly available in PBX systems. Unconditional forwarding sends all calls to a designated alternate number immediately. Busy forwarding redirects calls only when the primary line is in use. No-answer forwarding activates when the call is not picked up within a specified number of rings. These basic forwarding rules can be configured through a PBX web interface, a desk phone menu, or a softphone application.

Follow-Me takes this concept further by creating a sequence of destinations that the system attempts in order. When someone calls your extension, the PBX might first ring your desk phone for fifteen seconds, then your mobile phone, then your home office line, and finally send the call to voicemail. Some systems also support simultaneous ring, where multiple devices ring at the same time and the call connects to whichever one is answered first.

These features are particularly valuable for professionals who split time between the office, client sites, and remote locations. Rather than publishing multiple phone numbers, you provide a single business number, and the PBX handles the behind-the-scenes routing.

Configuring Call Forwarding in Your PBX

The exact steps for call forwarding setup vary by PBX platform, but the general process follows a consistent pattern. First, access your PBX administration portal or user settings panel. Locate the call handling or call routing section for your extension. Select the type of forwarding you wish to enable and enter the destination number, which may be an internal extension, an external mobile number, or a voicemail box.

For unconditional forwarding to a mobile phone, you typically enter the full external number including any required prefixes. For busy or no-answer forwarding, you may also need to specify timing parameters such as the number of rings before the forward triggers. Many systems allow users to activate and deactivate forwarding via dial codes from their desk phones, providing flexibility for temporary changes during travel or meetings.

Administrators can also configure system-wide forwarding rules, such as routing all after-hours calls to an on-call service or forwarding calls for a specific department to a backup team during peak periods.
